VACANCY – ADMINISTRATION ASSISTANT – SSA
Purpose of the Position
To Provide administrative support to the WHO Country Office (WCO) Team programs under the general supervision of the OO. The SSA performs functions related to Program support in the GSM environment. The SSA works on the basis of general instructions, according to the policies, procedures, rules and regulations of the Organization, ensures the proper functioning in the team or department. The SSA will seek advice on unusual matters. Most of the work is checked for accuracy and relevance by the OO before submission to the Representative.
Summary of Assigned Duties
Provide support to the Administration team and the WHO Representative’s Office
Provide Administrative support to all the Technical Officers and the Senior Management.
Raise requests for procurement of goods and services
Acknowledge receipt of goods and services in GSM
Raise and manage Travel Requests for meetings and official missions, ensuring compliance with Travel Policy; use GSM to prepare requests, make airline and hotel reservations, prepare travel records and handle other related matters upon request
Manage administrative arrangements for all meetings supported by the WCO
Assist Finance Assistant with photocopying, filing, and submitting of VAT returns to Revenue Services Lesotho.
Support with various correspondence based on the orientation of the WR and Program Officers; finalizing letters/memos in accordance with WHO and departmental styles and check language, grammar and accuracy before submission for approval and signature
Serve as a back up to the Administration team;

Educational Qualifications
Essential:- Work requires completion of secondary school. Knowledge of general administrative and HR Policy theory and procedures; Logistics, Procurement and Travel practices, theories and procedures. Training in logistics, supplies/procurement and travel would be an asset.
Desirable:- Proven skills in drafting and editing required.
Experience
Essential:- At least 2 years of experience in administrative positions preferably in UN.
Desirable:- Experience in other areas such as Programme Management, Travel and Procurement would be an asset.
Languages
Essential: Fluency in English
Desirable: French would be an added advantage
Other Skills
Work requires the use of word processing or other software packages, and standard office equipment. Formal or self-training in the use of standard office software
